Accounts Receivable Administrator

Department: Accounting & Finance

Reports to: Controller

Location: Sonoma, CA

This position is in the Mia's Kitchen & Sonoma Kitchen Collective division within the Don Sebastiani & Sons family.

Position Summary

The Accounts Receivable Administrator is the Direct liaison with mia’s kitchen and Sonoma Kitchen Collective Sales Teams and Domestic Distributor Partners for all information related to inventory availability, pricing, orders, shipments, invoicing and credit memos. Coordinates accounts receivable activities and occasionally assists with wine account receivable activities.

Primary Duties & Responsibilities

  • Direct contact for information/inquiries to/from the Sales Team and Domestic Distributor Partners regarding products, inventory availability, pricing, orders, shipments, invoicing and credit memos
  • Receives & reviews all incoming orders for accuracy in customer data, product order and availability, domestic state and export compliance, price, and credit terms
  • Enters orders for fulfillment and provides necessary information to third party distribution partners and Distribution department for customer order acknowledgement and coordinated shipment terms
  • Prepares and distributes daily and monthly summary of orders and shipments
  • Coordinates new customer setup and credit applications
  • Maintains company EDI and ERP customer databases
  • Maintains timely and accurate collections of accounts receivable balances, ensures timely posting of cash receipts and daily issuance of customer invoicing
  • Communicates status of account problems on a regular basis
  • Reconciles accounts receivable; prepares and distributes collections and aging reports
  • Enters and processes credit memos associated with promotions, programs, samples, displays, POS, etc. in an accurate and timely fashion
  • Receives, copies, and posts bank deposits in ERP system
  • Executes Credit Reports for analysis of new customers, export customers; completes analysis and makes recommendations
  • Maintains accurate pricing list (FOB/case/territories) including distributor pricing
  • Processes broker and distributor commissions
  • Performs special assignments, projects, and other duties as required.

Education/Experience/Skills

  • Associates Degree (A.A.) or equivalent education, and minimum three to five years’ experience in the food industry
  • Maintain acute attention to detail and possess strong organizational, problem-solving, administrative, and analytical skills
  • Possess knowledge of customer service principles and practices with working knowledge of A/R
  • Demonstrates excellent verbal and written communication skills and the ability to understand and follow written and verbal instructions
  • Proficient in Word, Excel, Access, PowerPoint, Outlook, and Microsoft Windows operating system
  • 10-key by touch with minimum 50wpm
  • Experience with Microsoft Dynamics Navision, QuickBooks, and Electronic Data Interchange systems a plus
  • General accounting (general ledger) knowledge; understanding how accounts receivable and general ledger tie together; understanding of month and year end close procedures
  • Excellent interpersonal skills and an ability to deal effectively with a diversity of individuals.
